Overview of Administrative Roles
On sportsYou, there is no central administrative role that automatically oversees all teams. Instead, administrative rights are assigned at the team level. This means that ADs and other administrators must be manually added to each team to gain access and manage team activities.
Adding and Assigning Roles
Adding an Athletic Director to Teams
To give an AD access to team communications and administrative features, they must be added to each team individually. There are two main ways to achieve this:
AD Creates Teams: The AD can create all teams for coaches, add themselves as members, and assign admin rights to the coaches. This setup allows the AD to oversee posts, calendars, files, and use features like Multi Post and unified calendar views.
Coaches Add ADs: Coaches can create their own teams and then add the AD as a member, then give them admin rights.
Onboarding a New Athletic Director
When onboarding a new AD, follow these steps:
The new AD should create their own sportsYou account.
Once the account is created, they can join each team by: - Entering the team’s code, or - Accepting an invitation sent by an existing team admin.
Existing admins can share team join codes or send invites directly from the team’s admin settings.
Granting Administrative Rights
To grant admin rights to a new AD:
Ensure the AD has created their sportsYou account.
Add the AD to each relevant team.
Within each team, assign admin rights to the AD. Note that admin rights are granted at the team level, so this process must be repeated for every team the AD should manage.
Managing Communication
Coaches can communicate with players and parents using the platform’s Feed and Chat features:
Feed: Use this for broad announcements to the entire team.
Chat: Create specific groups for targeted communication, such as: - Entire team - Players only - Parents only - Custom groups (e.g., parents-only chat)
These features allow coaches to tailor their communication to the needs of their teams.
Reassigning Admin Rights
If the original AD is no longer available, an interim AD can request admin rights. The interim AD must join the teams then contact sportsYou support to complete the admin request form and have the rights reassigned. This process ensures continuity in team management.
