What to Do When a Coach Leaves Your School

This guide explains how to handle team admin access when a coach leaves your school or organization. Following these steps will keep your team running smoothly and ensure the right person is in charge.

The Best Approach: Transfer Admin Before the Coach Leaves

The easiest way to handle a coaching transition is to take action before the departing coach's account becomes inactive. If possible, have the departing coach complete the following steps:

  1. Add the new coach or Athletic Director as an admin — The departing coach can grant admin rights to their successor directly in the app. This is the cleanest and fastest handoff.

  2. Regenerate the team QR code — This invalidates the old join link so the departing coach can't be accidentally added back to the team.

  3. Remove themselves from the team — Once the successor has admin access, the departing coach should remove themselves from the team.

If the Coach Has Already Left

If the coach departed without transferring admin access, your options depend on whether a replacement coach is already a member of the team.

If the new coach is already on the team

Contact sportsYou Support and request that admin rights be transferred to the new coach. Your Athletic Director or school administrator will need to reach out on the new coach's behalf so we can verify the request.

If the new coach is not yet on the team

Unfortunately, we're unable to grant admin rights to someone who isn't already a member of the team. In this case, you have two options:

  • Delete the team and start fresh — If you don't need to preserve the team's existing posts and media, the team can be deleted and the new coach can create a new one. Note that deletion is permanent and all team content will be lost.

  • Contact Support for help — If preserving the team is important, reach out to our support team and we'll work with you to find a solution.

⚠️ Important: For security reasons, sportsYou can only process admin rights requests initiated by a school administrator (such as an Athletic Director or principal). Coaches and other team members must have their AD reach out to Support on their behalf.
